Personal Trainer Contacts: Understanding the Numbers

Personal Trainer Contacts: Now that we've figured out how much money you would like to make over the course of a year as a Personal Trainer, we now need to put a plan in place to achieve that goal.

In this section of "My Personal Trainer School" we will look at several variables that will impact your business. We've provided a chart that you may fill with your individual numbers. The changes in each section will determine the final number: the amount of Personal Trainer contacts you'll need to make to realize your vision.

Table Definitions

  • Average Package Length - In many cases, Personal Training packages may be sold in groupings (1, 5, 10, 20, etc). Our example looks at an average of a 5 session package. Yours may differ.
  • Closing Percentage - This is your success rate in turning a completed presentation into a paying client.
  • Appointment Show Ratio - This number represents the ratio of Booked Appointments to those that actually show up for their consultation.
  • Contact/Booked Presentation Ratio - This number shows how many people you have to meet or talk to to schedule a presentation. Not everyone that you meet will say yes, even if your consultations are free.

We have filled out the first table as an example. Here are the details for "Personal Trainer #1":

  • Income Goal of $50,000
  • Session Rate of $100
  • Percentages set at 20%
  • A 5-day work week
  • 8 hour days
  • Numbers based on a 50-week year allowing for 2 weeks of vacation

Comparing the Numbers

Take a look at Table #1 and Table #2. The Personal Trainer in each has the same monetary goal, but the number of contacts needed to achieve that goal is vastly different.

Examine the Total Number of Contacts needed over the course of a year. In example #1, the total is 12,500 contacts compared to the 800 contacts needed in the 2nd example.

Now look at the breakdown of those contacts into your 8-hour workday. Personal Trainer #1 would need 7 contacts/hour to achieve his or her goals. Personal Trainer #2 would need only 1 contact/hour. This makes the total numbers much less overwhelming.

Both scenarios are reasonable and easily achievable. However, I know I would rather be the Personal Trainer in Example #2, wouldn't you?
